(Job #553451) ASC-II, GSAC Operations Coordinator, Salary Range: $4,367-$6,362 mo. Hiring Range: $4,367-$4,585 mo . This is a full-time, benefited, non-exempt, 12-month pay plan permanent position with a one-year probationary period in Department. Position Summary: The GSAC Operations Coordinator oversees the daily facility operations of the Student Union to ensure a safe, welcoming, and well-maintained environment that fosters student engagement and community connection.
This position focuses on the operational management and service delivery of the GSAC facility rather than direct event programming. The Operations Coordinator provides lead oversight for building operations, information and guest services, and student staffing across all GSAC spaces, including lounges, recreational and gaming areas, the Information Desk, and outdoor gathering areas.
The Operations Coordinator develops and leads the GSAC student operations team, manages opening and closing procedures, maintains coordination with campus service partners, supports facility maintenance and safety initiatives, and implements operational practices that promote exceptional customer service and efficient facility use.
Key Responsibilities: 30% Lead operations and daily services of the GSAC - Oversee daily operations and readiness of all GSAC public spaces, including the Lumberjack Lounge, Gaming Lounge, South Lounge, Karshner Lounge, Arcade, Commuter Kitchen, Kate Buchanan Room, University Quad, and balcony areas.
- Oversee opening and closing procedures and address daily operational needs to ensure all spaces are clean, functional, and ready for use.
- Identify and report maintenance, custodial, and AV needs; submit and track work orders via FacilitiesLink and IT Help Desk.
- Coordinate with Facilities Management and IT for building maintenance, AV system functionality, and custodial support to maintain building functionality, cleanliness, and safety.
- Maintain equipment, key, and inventory records; recommend purchases, repairs, and replacements as needed.
- Ensure compliance with safety, fire, and emergency procedures; maintain safety supplies and support related staff training.
- Monitor building use and occupancy trends; prepare reports and recommend operational adjustments.
- Oversee arcade and gaming lounge operations, including equipment maintenance, repairs, replacements, and enhancements based on student feedback.
- Serve as liaison with campus vendors (e.g., Bigfoot Burgers, The Depot, Campus Store) regarding building hours and operations.
- Provide backup coverage for the After-Hours Lead Coordinator during absences to ensure evening and weekend operational continuity.
- Maintain communication and coordination with the Associate Director of GSAC for recommended operational adjustments and necessary maintenance.
20% Facility Use & Event Coordination - Coordinate scheduling, setup, and logistics for GSAC facility use, mainly the Kate Buchanan Room.
- Collaborate with Conference & Event Services (CES), campus partners, and event planners to review requests, layouts, service needs, and applicable fees.
- Lead and assist student and intermittent hourly staff with event setup and takedown, ensuring accuracy, cleanliness, and readiness.
- Support logistical, technical, and AV needs for meetings and events; liaise with IT or other campus resources as needed.
- Serve as on-site host and primary contact for GSAC facility users, exercising independent judgment to resolve issues during events.
- Liaise with Facilities Management, University Police Department, and campus partners regarding safety, access, maintenance, and operational adjustments.
- Provide occasional event setup support for CES-managed campus events as needed.
20% Student Staff Lead Direction & Development - Recruit, hire, train, schedule, and provide lead oversight to GSAC student assistants and intermittent hourly staff.
- Provide daily lead direction, mentorship, and coaching to student assistants and hourly, non-student staffing in the daily operations of GSAC.
- Develop and maintain staff manuals, procedures, and training resources; ensure staff completion of required campus trainings.
- Coordinate student staff scheduling with the Associate Director and GSAC Office Coordinator to ensure adequate operational coverage.
- Review and approve timesheets, shift changes, and schedule adjustments in compliance with university policies.
- Build a positive, collaborative team environment and foster student leadership and professional development opportunities.
- Lead staff onboarding, orientation, and ongoing skill development activities.
- Collaborate with the GSAC Programming Coordinator on daytime event support and student staff hiring as needed.
15% Information Desk & Customer Service Oversight - Oversee the GSAC Information Desk operations, ensuring consistent, high-quality customer service and accurate dissemination of campus information.
- Oversee facilitation of services such as equipment checkout, poster and flyer approvals, and tabling requests.
- Oversee posting and maintenance of University bulletin boards designated for general posting.
- Ensure adequate desk coverage and professional service delivery at all times.
10% Administrative, Assessment, and Campus Engagement - Track expenditures and prepare monthly ProCard reconciliations in coordination with the Executive Director’s approval.
- Contribute to operational planning, marketing efforts, and internal communication within GSAC.
- Support updates to the GSAC Student Staff Handbook and other internal resources.
- Collect and analyze data on facility use, student employment, and guest feedback; develop and implement assessment tools (e.g., surveys, feedback forms) to evaluate satisfaction and identify areas for improvement.
- Prepare reports summarizing key operational metrics and recommend improvements based on findings.
- Participate in professional development opportunities, departmental meetings, and campus trainings.
- Serve on committees or working groups that advance student success and engagement.
- Support GSAC, CES, and university-wide events and initiatives, including emergency response and after-hours operations as needed.
- Serve as a key holder and ensure compliance with university safety and security policies.

Minimum Qualifications: Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Preferred Qualifications: 1. Two years of experience working in student union, event operations, or facilities coordination.
2. Experience supervising and training student or part-time staff.
3. Working knowledge of audiovisual systems and event technology.
4. Ability and willingness to work a varied work schedule, including some early mornings, evenings and weekends as needed to support events and building operations.
