    The Position

    Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education.

    Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.

    This recruitment is for an Administrative Assistant 4 within the Governor's Office of Energy located in Carson City. The incumbent provides high-level administrative and fiscal support to the Director and agency leadership. Responsibilities include coordinating meetings and calendars, preparing agendas and official minutes, serving as the primary administrative point of contact for the office, and managing travel authorizations and reimbursement processes. The position provides advanced fiscal and grants support, including tracking budgets across multiple accounts, maintaining financial and statistical records, monitoring expenditures and encumbrances, and ensuring accurate coding in accordance with state and grant requirements. Duties include processing invoices, purchase orders, contracts, inter-local agreements, sub-grants, and related fiscal documents; assisting with the preparation of financial reports; and supporting compliance with applicable policies and funding guidelines. Additional responsibilities include developing and maintaining effective record-keeping systems, overseeing office operations such as procurement and inventory of supplies and equipment, and coordinating mail and communications to ensure efficient agency operations. ***THIS RECRUITMENT MAY CLOSE WITHOUT FURTHER NOTICE DEPENDING ON THE NUMBER OF APPLICATIONS RECEIVED.     To Qualify:

    In order to be qualified, you must meet the following requirements:
    Education and Experience (Minimum Qualifications) Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above. Special Requirements A State of Nevada/FBI background check will be required of the selected applicant. This position requires a valid driver's license or evidence of equivalent mobility at the time of appointment and for continuing employment. Additional Position Criteria Experience in federal grants. Experience with State of Nevada fiscal processes. Experience in procurement and contracting. The Examination Application Evaluation Exam The exam will consist of an application evaluation. In contrast, the State's lowest point (along the Colorado River) is only 470 feet above sea level. From majestic mountains to desert valleys, nature has endowed Nevada with diverse and unique ecosystems.
