About the Position The Administrative Lead of K-16 East Bay Collaborative is a leadership position for a $4,000,000 grant from January 2024 to June 30, 2026 with no renewal. The state-funded grant is a collaboration established over 18 months between the Dean of the College of Education and Allied Studies (the Co-PI) and the following partners: San Francisco State, San Jose State, UC Berkeley, Chabot-Las Positas Community College District, Chabot College, Las Positas College, Contra Costa Community College District, San Leandro USD, Oakland USD, and several faculty and administrators on the Cal State East Bay campus. The Administrative Lead will have same level peers at San Francisco State, San Jose State, and UC Berkeley, while they will submit reports to the fiscal agent’s Executive Director at Chabot-Las Positas Community College District. The primary duties of the Administrative Lead will be to: build relationships region-wide and campus-wide; directly lead the work direction of administrative personnel at Cal State East Bay; serve as a lead with administrators across districts; serve as the accountability lead for all grant-funded programs; lead data collection and reporting throughout the east bay region; serve as the primary fiscal and administrative lead for the grant; and seek grants to sustain and extend the mission of the grant. This is a full-time, grant funded, temporary position through June 30, 2025 with the possibility of re-appointment. Minimum Qualifications Education: Equivalent to graduation from a four-year college or university. Experience: Four years of progressively responsible administrative, technical, or professional analytical experience which demonstrates ability to conduct substantive surveys and studies of problems and issues in assigned areas. OR The rank of Associate Professor or higher in a four-year college or university and demonstrated experience in research or special study work may be substituted for the four years of experience. Knowledges and Abilities: General knowledge of administrative survey principles and techniques and skill in their application. General knowledge of principles of organization and management. Meet with representatives from the Census Bureau to conduct a residential census. Update, print, and disseminate the department's directory. Liaison between residents and SHRL team. Keep supervisor apprised with community, resident and other issues affecting the Housing office. Coordinates Procurement: Serve as liaison for Housing with University procurement services. Purchase all Housing supplies. Administer the department purchasing program which includes reviewing requests, creates requisitions for purchased items and services. Transmit and prioritize approved purchase orders and supporting documents to both University Procurement and supplier. Track orders and confirm system lead times, delivery dates, and costs with Housing Analyst. Advise Housing analyst to ensure invoices are received in a timely manner and reconciled. Identify opportunities and implement actions to achieve maximum efficiency with procuring supplies and equipment. Contribute to consolidation, reduction, and rationalization of Housing’s supplier base. Keep daily records and work with accounts payable to pay vendors per University policy. Coordinate all recurring bills incurred by the department such as but not limited to: PG&E and Waste Management. Responsible for closing out all of the department's purchase orders. Maintain and update databases to ensure expenses are posted in a timely fashion and amounts are allocated appropriately to their respective accounts. Screen and audit P-Card reports to ensure expenses are being allocated against proper chartfields per department guidelines. Assist staff members in preparation of p-card reports and serve as a resource for questions regarding p-card policy updates and direct connection to University accounts payable department. Provide manager with explanation and assessment of p-card reports. This gives managers the ability to work with direct reports on proper use of chartfield strings. Assist staff in procuring retreat, large scale events, and special events. Assist staff in the planning, reservation and payment of transportation needs. Assist staff in securing travel advances and working with University travel agents. Responsible for training and program development of the procurement area within Housing. Monthly and Quarterly training are required to ensure the department is up to date on any department or University policies. Resident Mailroom Coordination: Coordinate all aspects of the residential mailroom processes. Respond to all mail delivery inquiries. Coordinate scheduling of student assistants to staff the mailroom. Coordinate deliveries with variety of carrier services Provide workflow of mail processes. Provide training, scheduling, and evaluation of student staff. Residential BayCard Coordination: Coordinate printing BayCards for residents. Responds to all inquiries regarding BayCard photos and printing. Ensures that paperwork is provided to the Building Services Coordinator. Other Duties and Support Functions: Develop liaison relationships with other University departments to coordinate efforts where appropriates. Serve on University committees as appropriate. Participate on Housing departmental task forces and committees as assigned. Serve as emergency back-up for other functional areas as needed. Review status of job tasks and responsibilities with supervisor and/or designee on a regular basis. Prepares and updates position calendar and procedures. About the Position The Office Coordinator performs duties under general supervision of the Associate Director, Housing Operations and Commercial Services and works independently to provide department office coordination and administrative support functions while providing excellent customer service. The Deputy Police Oversight Monitor will provide highly responsible and complex administrative support to the Police Oversight Director. The incumbent provides a wide range of support to the day-to-day administration of these funds; such as, running necessary operational reports, sending regular student communications, analyze, troubleshoot and/or resolve service tickets via ServiceNow platform, streamline business processes and leverage technology for continuous improvement, update imaging & workflow system for new Aid Year (AY) start-up. The Financial Aid Systems Analyst understands the business process and functional needs of system modules and configurations, regular use, and data structures of the assigned PeopleSoft module; Financial Aid and Scholarships. The position serves as a campus Subject Matter Expert (SME) for the CSU’s Common Management System (CMS), the CSU version of PeopleSoft’s Campus Solutions Product. The incumbent works under the direct supervision of the Director, Financial Aid & Scholarships and supports IT-based business processes in the Financial Aid & Scholarship Office. This includes developing and maintaining knowledge of financial aid lifecycles and the various processes that support operations.
