The incumbent serves as the Timekeeper for ITS and handles sensitive and confidential information. This position requires diplomacy, excellent analytical skills, independent decisions, interpretation and application of policies and procedures, and detailed follow-up. Required Qualifications & Experience : Bachelor's degree from a four-year accredited college or university and two years of full-time administrative work experience involving study, analysis, and/ or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs. The incumbent must have knowledge of public administration principles, practices, and methods; and budget policies and procedures. The incumbent must have excellent communication skills, including written, verbal, and listening skills. The incumbent must have the ability to learn, interpret, and apply a wide variety of policies and procedures; organize and plan work and projects including handling multiple priorities; make independent decisions, exercise sound judgment, and solve problems; organize and plan work and projects including handling multiple priorities; analyze financial data and make accurate projections; maintain strict confidentiality in all matters; establish and maintain effective working relationships; maintain effective working relationships within and outside of the department and serve as a liaison; and proficiency with computers using Microsoft Windows and Microsoft Office. Manage and follow up on all incoming and outgoing correspondence to/from the office. Schedule daily/weekly calendar appointments for the Director of Custodial Operations and update as needed. Attend meetings and record minutes. Provide assistance to the department timekeeper to track attendance, vacation, requests, trainings, etc. Answer and assist with basic questions regarding the online payroll system. Follow-up with staff or management on missing forms. Provide confidential administrative support with preparation of correspondence and reports. Document, distribute, proofread, and edit necessary material. Compose correspondence, create and update forms, make flyers, and complete critical reports. Update schedules, posters, and notices as needed. Follow up on custodial requests for missing, damaged, or new signage request in and around the residence halls. Lead the development and organization of the monthly custodial operations newsletter. Meet with newsletter committee bi-monthly to solicit information and gather appropriate articles and pictures.
