Classification Salary Range: $4,233 - $9,514 per month

Anticipated hiring range: $4,233 - $7,083 per month

Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m., unless otherwise notified

THE DEPARTMENT:

The Strategic Business Services (SBS) department, part of the Division of Administrative Affairs, is responsible for the following units: Procurement Services, Risk Management, Distribution Services, Graphics Communications Services, and Event Venues & Meeting Spaces. Strategic Business Services is a collaborative service operation that develops, with internal and external partners, initiatives to improve operational efficiencies by improving quality of services, creating value, and reducing total cost for the University.

DUTIES AND RESPONSIBILITIES:

Analytics and project support:
  • Coordinate and track projects, including initiatives to improve processes, procedures, quality of service, & efficiencies.
  • Coordinate and update established metrics for the department
  • Organize and maintain standard operating procedures, policies, metrics
  • Provide analytical support, including data collection, analysis, recommendations, in collaboration with team members
  • Work with team members to highlight and mitigate any issues or concerns that are risks for the SBS department and the University

Administrative support & budget support:
  • Onboard new employees.
  • In coordination with the unit leaders, responsible for preparing workspace, ensure timely ordering of tools (computers, access to systems, etc.), introduction to colleagues, reviewing departmental procedures, job expectations, job specific training, ensuring completion of required training, ensuring attendance, and reviewing the evaluation process.
  • Assist with personnel/organizational matters, including completing documentation and forms to support recruitment, compensation adjustments, performance evaluations, and other similar tasks.
  • Responsible for tracking & reporting position searches, in coordination with the unit leaders, across SBS.
  • Maintain accounting records for department funds, programs, or activities involving multiple transactions; maintain fiscal records, including budget forms, position status reports, disbursement vouchers, requisitions, purchase orders, and invoices, etc.
  • Assists with reviews for position requests, includng replacements, stipends, IRPs, etc., and recommends solutions to position and/or funding issues.
  • Supports budget planning process, including analytical support, as required.
  • Supports the AVP with the employee performance review process for SBS.
  • Supports duties related to communications, including drafting of memos, announcements, etc.

Other duties as assigned.

QUALIFICATIONS:
  • Bachelor's degree in business administration, accounting, engineering, supply chain management, or related.
  • Three years of progressively responsible analytical experience including performing work involving the preparation, justification, and analysis to support management decision making.
  • Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of English grammar, punctuation and spelling.
  • Thorough knowledge of office systems and ability to use broader range of technology, systems, and software packages
  • Ability to independently handle multiple work unit priorities and projects.
  • Ability to apply a variety of policies and procedures where specific guidelines may not exist.
  • working knowledge of budget policies and procedures.
  • ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to draft and compose correspondence and standard reports
  • Ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature.



PREFERRED EXPERIENCE:
  • Previous experience in higher education. Working toward an MBA, Masters in Public Management, or related work.
