Position Description

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions

  • Provide purchasing support for grants and all departmental purchases
  • Maintain effective file management system
  • Keep meeting minutes for all department meetings
  • Prepare applications, vouchers and itineraries for travel reimbursements for faculty, staff and invited guests
  • Provide clerical duties; make copies, filing, typing, proof reading, general support for faculty
  • Make room reservations using the Virtual EMS system. Book meetings, conferences, seminars, etc.
  • Distribute daily mail and packages to department mailboxes and research labs
  • Coordinate department activities such as luncheons, special events, etc.
  • Perform monthly data entry for all grants in the department to turn into Amarillo
  • Submit monthly vehicle reports and equipment usage reports
  • Perform department website maintenance and update department TV monitor with faculty information
  • Update and track faculty publications throughout the year


Required Qualifications

Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

Pay Statement

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.
