Position Summary

The Administrative Support Coordinator II (ASC II) Office Manager provides staff support for the department and works directly with the Department Chair. The position is the lead worker to two full-time staff members and one student assistant depending on funding. Special attention paid to academic program schedule building, budget oversight, the University Appointment, Retention, Tenure and Promotion (ARTP) procedure and policy enactment, administrative support to core committees, and workload report development and review in consultation with the Department Chair. The ASCII facilitates staff development, project efficiency, and timely project completion. The incumbent is expected to work under pressure with frequent interruptions while prioritizing assignments in order to meet deadlines. The incumbent is expected to deal cordially and professionally with visitors to the office from a variety of ethnic and socioeconomic backgrounds. The incumbent must maintain confidentiality of materials and information received within the office.

FLSA: Non-Exempt (eligible for overtime compensation under the Fair Labor Standards Act). This position is benefits-eligible.

CSU Classification Salary Range: $3440 - $5639 per month

Hiring Range: $3440 - $3989 per month

Recruitment Type: Regular (probationary)

Time Base: Full-Time

Pay Plan: 12 month

Work Hours: M-F 8:00 - 5:00 Work is on-site.

Department Information

The mission of the Division of Criminal Justice is to prepare the leaders of tomorrow's Criminal Justice community to make positive decisions.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications

  1. Ability to learn applicable university infrastructure, policies, and procedures.
  2. Thorough knowledge of office methods, procedures, and practices.
  3. Fluency in using standard office software packages: email, typing, word processing and spreadsheets. Excel, Word, Access, Outlook.
  4. Ability to learn university system software (CMS, PeopleSoft: Student Administration; Class Schedule/Curriculum Management; Personnel Management/Temp Faculty Hiring; CMS Financials including but not limited to COGNOS/SacVault, Staples Orders, Procurement Card (ProCard), Procurement-all modules, Visitor Parking, ASTRA.
  5. Strong oral and written communication skills.
  6. Ability to work in a team structure and simultaneously handle multiple tasks in a busy environment.
  7. Ability to perform a variety of tasks with a high degree of independence.
  8. Ability to apply independent judgment, discretion, and initiative to address problems and develop solutions.
  9. Ability to manage front line contacts with a variety of campus and community individuals requiring problem solving, effective interpersonal skills and strong organizational skills.
  10. High degree of motivation, ability to learn new skills, flexibility to develop along witl1 the office.
  11. Ability to independently interpret and apply a variety of policies and procedures.
  12. Ability to set priorities among numerous ongoing activities and meet external and internal deadlines.

13. Knowledge of the Division of Criminal Justice or Higher Education department equivalent.

14. Experience working in an institution of higher education.

15. Knowledge of Sacramento State policies and procedures related to academic programs, faculty and staff development, retention, and promotion, facilities, and budget.

16. Possession of some college or higher education experience
