Administrative Support Assistant II
Housing and Residence Life

Salary Range: $3,120 - $4,592/Monthly

Work Schedule: Full-Time, Monday - Friday, 8:30 a.m. to 5:30 p.m.; occasional evening and weekend hours; temporary one-year appointment from date of hire. May be extended, may become permanent; non-exempt classification. Required to report to work during campus closures/emergency situations.

Essential Functions: The incumbent reports to the Associate Director for Housing Operations and works closely with the Housing Operations Coordinator. The incumbent will also provide general lead direction over specific projects and processes; coordinates and completes functions related to housing eligibility, temporary emergency housing, occupancy checks, and room abandonment; collaborates with the Office of the Dean of Students for the temporary Emergency Housing Program; EOP (Educational Opportunity Program) for the Guardian Scholars program; the Athletics Department and other departments for specialized programs; conducts eligibility checks prior to resident move-in and once per semester to identify residents that do not meet eligibility requirements as outlined in all Student Housing license agreements, including verification of enrollment status, health requirements, and payments, collaborating with campus partners or through use of Peoplesoft data; conducts eligibility and compliance checks in response to health mandates issued by the state or county, such as COVID-19 vaccination, testing, and isolation requirements; produces and distributes notices to residents not meeting eligibility; informs residents of their rights and responsibilities regarding Student Housing eligibility by email, postal mail, and in-person from the start of the semester until the University census date; run reports updating Student Housing staff of residents not meeting eligibility; receives and processes requests for exceptions to eligibility requirements; works within the parameters of university and state laws and regulations to recommend evictions of student for non-eligibility; works closely with Housing Operations accounting team, Residence Life and Housing Facilities; prepares list of non-compliant residents and notifies Associate Director of Housing Operations for follow-up with CSU Legal Counsel and Campus Police; and reviews occupancy and dining plan usage reports for all student housing areas and prepares abandonment paperwork as appropriate.

Required Qualifications & Experience: Equivalent to two years of general office experience as well as experience in using office software packages, technology, and systems (i.e. Microsoft Office) and experience or ability to quickly learn programs. The incumbent must have knowledge and experience in office methods, procedures, and practices; and effective English grammar, spelling, and punctuation. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the California State University. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current California State University employees who may apply for the position.
