Salary Range: $3,288 - $6,347/Monthly
Work Schedule: Full-Time; Monday 8.00 a.m. to Friday 5.00 p.m.; non-exempt classification.
Essential Functions: The Administrative Analyst serves as the office assistant and is responsible for the coordination of the office functions and administrative support. The incumbent will: review and evaluate DEI programing, processes, and fiscal planning for DEI activities which includes related campus events, workshops, and various working group activities; support collaboration with other campus units in coordination of events and programming; organize and coordinate online platforms for activities and data/document archiving/storage/access; supervise student assistants and coordinate projects with Division staff; work closely with the Director Fiscal and Business Operations in preparing forms and monitoring expenditures for the Division of DEI; compile and analyze financial data to help allocate resources; prepare projections, reconcile division accounts in the University financial system, and prepare quarterly financial reports including projections for AVP's review prior to submission to the Resource Manager; coordinates and implements special projects and/or events including initiatives; provide clerical support to other senior administrative office staff as needed; reserve event venues and requests technology and catering orders as needed; draft and review a wide variety of documents, including, but not limited to, correspondence, reports, flyers, and brochures; draft text that may be used to update and enhance websites and other promotional materials; provide support to the AVP-DEI; develop agendas and take minutes for assigned meetings; answer and screen telephone calls, and greet and assist visitors; screen students with questions, complaints, or problems and resolve the issue or refer them to the appropriate Divisional staff member; log and track various on and off-campus correspondence, reports, and materials; arrange travel and accommodations for the AVP and staff as necessary, including preparing travel cost estimates, requests for travel, and travel expense claim forms; assist the AVP-DEI with personnel matters such as preparing job descriptions, hiring packages, coordinating recruitment activities, and coordinating division branding and communications with communication directors. Other duties as assigned may include attending meetings or professional development workshops/training and supporting administrative functions for externally funded grant projects.
Required Qualifications & Experience: A bachelor's degree from an accredited institution and three years of general office experience, which includes providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Additional qualifying experience may substitute for the required education on a year-for-year basis. Thorough knowledge of office methods, procedures, and practices. Fluency in using standard office software packages such as Microsoft Office Suite. Thorough knowledge of English grammar, punctuation, and spelling. Comprehensive knowledge of applicable university infrastructure, policies, and procedures. Ability to: learn, interpret independently, and apply a variety of complex policies and procedure; independently handle multiple work unit priorities and projects; and perform standard arithmetic functions of transactional nature, including tracking and comparing data. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Demonstrated ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
