ADMINISTRATIVE SUPPORT COORDINATOR
Administrative Support Coordinator I
Engineering, Computer Science and Technology - Dean’s Office
Salary Range: $3505 - $5508/Monthly
Work Schedule: Full-Time, Monday - Thursday, 9:00 a.m. - 6:00 p.m., Friday, 8:00 a.m. to 5:00 p.m.; Temporary appointment expires on or before one-year from date of hire; may be extended, may become permanent; non-exempt classification.
Essential Functions: Under the general direction of the Assistant to the Dean, the incumbent will perform complex clerical and administrative support functions in the Dean's and Associate Dean’s Offices for the College of Engineering, Computer Science, and Technology. The incumbent is responsible for handling front desk responsibilities; organizing and creating new personnel folders; photocopying; filing of faculty appointment contracts; and serves as the Dean's Office receptionist. The incumbent will also assist with building and maintaining MSE & ENGR course schedules on the campus network system; order textbooks and class materials; maintain student course opinion surveys; resolve issues with classroom access for faculty; monitor class enrollments; coordinate and track the submission and progress of curricular forms and proposals; collect required employment documents and prepare ETFs to hire ENGR & MSE adjunct faculty; process college student assistant hires on Handshake; and prepare hospitality and travel forms for various programs in the College. The incumbent will be responsible for procurement of supplies, equipment, and services for the Dean's Office; assist with monthly time & labor and absence management reporting; and assist with preparation of College special events and projects. The incumbent will serve as primary administrative staff contact for the proposed material science program.
Required Qualifications & Experience: Equivalent to three years of general office experience which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Fully functional knowledge of and skill in standard office procedures and practices; and thorough knowledge of English grammar, spelling, and punctuation and able to clearly communicate orally and in writing. The incumbent must have the ability to understand and operate in a variety of organizational structures; use and quickly learn new office support technology systems and software packages; and effectively handle interpersonal interactions at all levels. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.

Desired Qualifications: Equivalent to graduation from a four-year college or university. Experience and knowledge in using PeopleSoft Student Administration (GET), Common Financial System (CFS). Familiarity and/or experience with areas of engineering, computer science and technology.
