The
County Administrative Office (CAO) has multiple vacancies for highly qualified
Executive Administrative Assistants III*** to provide a variety of complex, responsible administrative/secretarial support to the County Administrative Office.
Incumbents will provide complex administrative/secretarial support to executive-level administrators. Responsibilities include, but are not limited to, the following:
- Screen and prioritize incoming correspondence, emails, calls, and visitors;
- Answer correspondence on behalf of the administrator;
- Manage the administrator's calendar; arrange meetings, prepare agendas and materials, and take minutes;
- Handle highly confidential information ; research compile and organize information/data to be used in the completion of reports, recommendations, and special projects;
- Prepare reports and assist in the coordination of special projects for the office; and
- Develop and manage the Board Agenda Items (BAI) process as directed.
The vacancies are for Unclassified positions that reports directly to and serve at the pleasure of the County Administrative Office; incumbents do not attain regular status.

CONDITIONS OF EMPLOYMENT
Pre-Employment Process: Prior to appointment,
applicants must successfully pass a background check, including fingerprinting, verification of employment history and education, and physical exam/drug test.
Travel: Travel throughout the County may be required. Employees may be required to make provision for transportation and use personal vehicles (mileage reimbursement at current IRS rate is available). At the time of hire, a valid California Class C driver license and proof of automobile liability insurance must be produced for the individual providing the transportation.

Minimum Requirements Applicants
must meet
both of the following experience and typing requirements:
EXPERIENCE: Three (3) years of f ull-time equivalent experience (within the last five (5) years) performing highly responsible, complex administrative assistant duties in support of an executive-level professional or administrative position(s) operating in a work environment that requires a high level of confidentiality and discretion, where duties included collecting and analyzing information, drafting reports based upon data analysis, project management/support, composing and routing correspondence, maintaining files and records, and preparing agendas.
-AND-TYPING: Possess a minimum corrected typing/keyboarding speed of
55 WPM or higher. Your typing speed must be indicated in the supplemental questionnaire and work history section of the application.
IMPORTANT NOTE: General clerical experience (e.g., Office Assistant II, III, IV, Office Specialist) is
not considered qualifying. Qualifying experience
must be equivalent to the San Bernardino County
Secretary I or higher
classification providing support to a specified executive-level professional or administrative position(s) (e.g., Board Office, County Administrative Office, Chief Executive Officer, Agency Director, Department Head, or Division Chief).
Desired Qualifications The ideal candidate will have:
- Extensive experience providing highly responsible and confidential complex administrative secretarial support to executive level or professional managers/administrators;
- Exceptional aptitude for organization and attention to details;
- Highly developed decision making, problem solving, and verbal/written communication skills;
- In-depth knowledge of modern office practices, methods, and procedures; and
- Ability to manage and quickly shift priorities.
