This is a Non-Perm, Part-Time position.

This is an excellent opportunity to work for the Community & Library Services Department. We have an outstanding career opportunity available, as we're looking for the "right person" to serve as PT Program Coordinator - Contract Classes & Sponsorships to help facilitate and grow recreation programming and sponsorship opportunities within the Community & Library Services Department. This position will work out of City Hall. The ideal candidate possesses at least three (3) years of experience working with contracted instructors, effective and cooperative communication and interpersonal skills, is relentlessly team-focused, and thrives in a busy environment where attention to detail is important.

The incumbent that fills the current vacancy at City Hall will work 19 hours a week, Monday through Friday, and should also have the flexibility to be scheduled other shifts including nights and weekends on an occasional basis.

Temporary/part-time employment is restricted to 1,000 hours within a 12-month period (July 1 - June 30) and does not qualify to receive City benefits, except those required by law. The City does not belong to the Social Security system. However, enrollment in an alternative retirement program is mandatory which requires an employee contribution of 7½% of base earnings to the Public Agency Retirement System (PARS). There are no rights to employment and employment may end with or without cause or advance notice. Further restrictions apply to CalPERS Retired Annuitants.

Examples of Essential Duties

  • Working with the Recreation Supervisor, facilitate of contract class programs that meet community needs and interests, providing educational, cultural, recreational, and/or civic experiences consistent with the City’s mission and adopted plans and policies.
  • Assist in the recruitment of volunteers and contractor class instructors, determine class placement at city locations in collaboration with site supervisors.
  • Prepare contract documents, ensure insurance requirements, assist in processing payments, help conduct contractor training, and maintain business relationships with contractors.
  • Assist the department in conducting program evaluations, surveys, and a department-wide Programs Needs Assessment.
  • Ensure instructor business licenses, contracts, and insurance certificates are up to date,
  • Act as the department contact for Recreation Event Sponsorship; help build and establish relationships with City partners to generate sponsorship funds for community events.
  • Input activity section data into recreation software.
  • Create name badges for contractors who have cleared their background screenings.
  • Respond to customer inquiries, provide information regarding community programs, and register customers for recreational activities if necessary.
  • On occasion, assist with creating flyers and advertisements for the SANDS.
  • Other duties as assigned.

Minimum Qualifications

Knowledge of : Current trends in recreation programs and activities.

Ability to : Supervise program participants in a variety of environments, while creating positive relationships within the community; provide excellent customer service to the community at all times; communicate clearly and concisely, both orally and in writing; establish and maintain effective and cooperative working relationships with those contacted in the course of work; operate personal computer and related software; maintain accurate records; record and retrieve information; lift or move up to 50 pounds without assistance, as well as heavier objects with assistance.

Education and Experience : High school graduation or equivalent certificate required. Three (3) years directly related experience in recreation or contract class management.

Desirables:
  • Strong understanding of recreation programming in a municipal setting.
  • Proficient writing, proofreading, and editing skills.
  • Ability to effectively listen and provide assistance to internal and external customers in a professional and courteous manner.
  • Comfortable with soliciting sponsorships and donations from local businesses.
  • Ability to quickly and effectively respond to changes in direction.
  • Experience with and working knowledge of any recreation software, Microsoft Suite (Word, Excel, PowerPoint, and Outlook), and InDesign.
  • College coursework in business administration, communications, or a related field is preferred.

CPR/First Aid/AED Certificates : Must possess within three (3) months of appointment.

SPECIAL CONDITIONS

Public Employee Disaster Service Worker: In accordance with Government Code Section 3100, all Huntington Beach city employees are required to perform assigned disaster service worker duties in the event of an emergency or a disaster.

The SALARY RANGE is composed of seven steps. Merit step increases are based on satisfactory performance.

PROMOTIONS within the City are based upon the merit system principles emphasizing individual ability and utilizing competitive examinations.

CREDIT UNION membership is available to all City employees and provides access to low interest loans.
