*Subject to Change DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS - Assist in processing all incoming and outgoing correspondence, file maintenance and archival, scheduling meetings for the Director and supervising the day-to-day operations of the Director’s Office.
- Manage the MOSE Director’s calendar, including setting appointments.
- Answer and direct calls to the correct party.
- Assist the Administration Manager with accounts payable, purchasing supplies and services to ensure that the division's needs are met.
- Research and prepare various reports as required by management. Process purchase requisitions.
- Collect and deposit parade, traffic control and street function fees.
- Assist the Administration Manager in the daily functions of Houston Civic Events, Inc., including tracking all income and expenditures, managing the Board of Directors' communication and ensuring that the organization meets all legal and financial requirements as directed by federal and state law, as well as city ordinance and administrative procedure. Assist in year end financial duties, including processing of 1099s.
- Communicate orally and in writing with the public and governmental entities regarding event planning, coordination and implementation.
- Performs other duties as assigned.
- Maintain tracking report of all receivable transactions. Responsible for the deposits of parade and street function fees.
- Make high-level contacts of a complex and confidential nature, both internal and external to the department.
- Compose, edit, type and distribute correspondence.
- Will occasionally work weekends and holidays when requested.
- Perform administrative duties including filing, data entry, answering telephones, scheduling appointments, faxing, copying and any others that may be required.
- Provide research and assist in preparing various reports and documentation for management as required.
- Deliver and pick up various documents, supplies and other items to designated destinations as required.
- Assist the Special Events section as needed for additional staffing at special events and other duties as assigned
WORKING CONDITIONS Requires lifting of moderately heavy items weighing up to 40 pounds. May experience long periods of walking and standing on rough surfaces. May be exposed to various weather conditions on outside assignments.
MINIMUM REQUIREMENTS EDUCATION REQUIREMENT Requires a Bachelor's degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENT Five years of administrative experience are required.
Professional administrative experience may be substituted for the education requirement on a year-for-year basis.

PREFERENCESPreference will be given to applicants who have verifiable SAP experience.
