ABOUT THE POSITIONAs a part of Marin County’s Area Agency on Aging (AAA) staff, this part time (75 hours a month) 2-year fixed term position will primarily provide administrative support to the Marin County Commission on Aging’s (MCCOA) executive leadership team, working closely with the commission chair. This position will report to the AAA program manager and will also work with and assist the AAA director, the AAA senior program coordinators and the AAA administrative assistant as needed in performing work that supports the Commission. This position will primarily be onsite and occasionally in the community. There may be an opportunity for remote work in the future after a training period. The opportunity for remote work is at the discretion of the AAA program manager.
This position will support the operation of the MCCOA through aiding in the coordination, calendaring and communication about meetings and special events, such as the Senior Fair, the annual MCCOA forum and retreat, and other special community meetings including MCCOA meet and greets and monthly presentations. This position will also provide backup support to the MCCOA related work of the AAA team, as needed and identified by the AAA program manager.
Fixed Term: This is a 2 year fixed-term position. This position is budgeted through July 2027. However, there may be opportunities for the hired individual during this time-period to move to a regular, ongoing position as other vacancies or promotional opportunities occur, or the position may be funded and convert to an ongoing position. Fixed-term employment ends when the position’s funding finishes, or the work is completed. Employees in these positions are exempt from the County’s policies regarding lay-off order and reduction-in-force rights.
ABOUT YOU Our Highly Qualified Candidate T he ideal candidate should be able to effectively multitask and maintain professionalism, confidentiality, and attention to detail. Candidate must possess strong organizational and time management skills and be able to work independently and in a team. The ideal candidate will also have experience with Microsoft Office programs especially Word and Excel. Ideal candidate must be able to communicate effectively in both written and oral form, handle the occasional challenging individual, prioritize their workload, and have the flexibility to work with multiple people, teams, community members, community partners and the different MCCOA members and committees.
QUALIFICATIONS Knowledge of
- Standard office practices and procedures including filing and retrieval systems, correspondence formats and the operation of standard office equipment.
- Standard office applications including word processing, spreadsheet and database systems.
- Correct English usage including grammar, spelling and punctuation.
- Business arithmetic.
Ability to - Learn general office practices and procedures.
- Perform routine clerical work.
- Learn policies and procedures related to the department to which assigned.
- Understand and follow written and oral instructions.
- Perform simple mathematic calculations.
- Communicate effectively both verbally and in written form sufficient to convey information and instructions to the public and other employees in situations requiring tact, courtesy and poise.

- Type at an acceptable rate of speed based on the requirements of the position.
- Perform general clerical and technical work quickly and accurately.

- Prepare and maintain accurate and concise records and reports.
- Read and comprehend manuals and instructions related to assignment such as: maps; drawings; policies and procedures; training materials; code books; instructions for equipment; and safety rules and procedures.

- Perform difficult and/or complex clerical duties including document processing and auditing.

- Learn complex enterprise resource planning software and/or assignment-specific database systems.
- Some assignments may require ability to perform more advanced mathematical calculations such as computing percentages and calculating simple measurements.
- Provide lead direction and training to staff depending on assignment.
