    Summary

    The Hazardous Waste Management Program serving King County, Washington seeks an experienced Administrative Specialist III to help the Program fulfill its vision in making the Puget Sound region the cleanest in the country-one free of hazardous chemical exposure.     About the Role:

    The Administrative Specialist III is one of two administrative staff whose responsibility is to support the Hazardous Waste Program (HWMP). This role supports the HWMP section in its functions of operation, performance, racial equity, planning, policy, finance, and communication. Key priorities include accounting/finance responsibilities, records management, inventory management, document preparation, recruitment support, travel and expense processing, and line of businesses support.

    This position performs work remotely and onsite.

    About the Team:

    The Hazardous Waste Management Program (HWMP) is a regional coalition of governments working to protect public health and the environment. The Program serves King County, Washington’s 2.3 million residents and 70,000 businesses, with an annual budget of $21 million and approximately 70 staff. The Program’s mission is to protect and enhance public health and environmental quality by helping residents and businesses reduce the threat posed by the production, use, storage, and disposal of hazardous materials. The Program provides a range of services including household hazardous waste collection and disposal, prevention programs, and policy initiatives.     This Program is a collaborative effort of several participating agencies. This position will be hired by the Water and Land Resources Division (WLRD) of the King County Department of Natural Resources and Parks, which is one of the participating agencies. The Water and Land Resources Division (WLRD) is at the forefront of King County’s efforts to protect and restore clean water and healthy habitat and strengthen the resilience of communities, environment, and infrastructure in the face of climate change. WLRD has a strong track record of developing innovative strategies for protecting working farms and forests, restoring habitat, and ensuring county residents have equitable access to green space.     Job Duties

    What You Will Be Doing:
    • Support administrative processes, procedures, and methods for activities such as records management, document development, document management, invoice/expense processing, purchasing, expense claims, inventory, travel planning, and training plans. Interpret and apply existing King County policies, procedures, and codes where relevant.
    • Provide skilled support in preparation for internal and public meetings, including scheduling, coordination, planning, communication, material preparation, catering, and taking meeting minutes.
    • Support managers and Human Resources in the hiring process and schedule meetings and interviews regarding the recruitment. Assist in the onboarding and training of all new hires to the HWMP program.
    • Search and produce hazardous waste records for properties in response to public disclosure requests. Maintain section’s working files on the server and in Microsoft SharePoint, and support the implementation of our records management plan, such as retention, archiving, and scheduled destruction of records.
    • Manage section’s inventories of mobile devices, capital assets, vehicle fleet, and office/field supplies, including purchasing and orders as needed.
    • Support the section’s lines of business staff with meeting scheduling and room reservations, with events and projects, and with ordering supplies and equipment for their operations. Register staff for conferences, confirm attendance, and maintain training records in NEOGOV platform. Renew annual memberships and subscriptions for staff when due.


    Experience, Qualifications, Knowledge, Skills

    Qualifications You Bring:
    • At least five years of general office experience providing administrative, clerical, and customer service support functions in a fast-paced environment.
    • Proficiency in Microsoft Word and Excel and a working knowledge and experience with PowerPoint, Teams, and SharePoint. Ability and experience performing complex word-processing tasks, preparing/using document templates, and converting documents in Adobe Acrobat.
    • Proficiency in Oracle with experience in purchasing, processing accounts payable, and reconciling financial expenses.
    • Experience in records research to respond to public disclosure requests.
    • Experience managing multiple calendars in Microsoft Outlook and scheduling and preparing for internal and public meetings, including coordination, planning, communication, and material preparation.
    • Excellent written communication skills that include knowledge of proper English grammar, usage, punctuation, and spelling with ability to proofread and edit.
    • Ability to organize, prioritize, and manage a high volume of work using initiative and judgment while adapting with resilience in a work environment with frequent interruptions.
    • Ability to work and make decisions in a team environment within schedule constraints of other staff, to be cooperative and able to compromise and resolve issues with minimal direction, and to be flexible and work professionally with all levels of staff.

    • Prior administrative experience working for King County.
    • Experience using Concur Travel or similar travel-based software for reservations and expense reporting.
    • Experience working with diverse individuals and groups in a culturally appropriate manner.
    • A valid Driver's License or the ability to travel throughout the County in a timely manner.


    Supplemental Information

    Working Conditions:
    • Remote and Onsite Work Details: Employees in this role work remotely from a home location, with onsite reporting requirements typically 2 days a month. The frequency of onsite work is determined by business needs and may be adjusted accordingly. Onsite reporting locations may be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104). This work arrangement promotes work-life-balance and reduces carbon footprint under the department’s vision of Green Where We Work.
    • Remote Work Location Requirement: Employees must reside in Washington State and be within a reasonable distance to King County worksites to meet onsite reporting requirements.
    • Work Schedule: This full-time position works a 40-hour work week.
    • This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible.
    • Union Representation: This position is not represented by a union.
