    Summary

    Under the direction of the Assistant City Manager, the individual holding this position is responsible for general business administration operations of the Visitors Center and State Auxiliary Museum and requires the use of judgment, initiative, and discretion. Also responsible for greeting, interacting and presenting to the general public on behalf of the Visitors Center and State Auxiliary Museum; supervises visitors while they are viewing exhibits; shares information; gives directions and ensures that all visitors leave at closing. Collaborates with other departments including but not limited to Community Relations and Recreation. Assists in the development and operation of events and exhibits for the community by promoting community awareness through established programs and organizations, and the day-to-day operations of the Visitors Center and State Auxiliary Museum. This position also requires the ability to work in a fast-paced environment.

    Essential Duties and Responsibilities

    • Conducts operation of Visitors Center and State Auxiliary Museum and provides information about regulations, facilities, and exhibits to visitors: Opens Visitor’s Center & Museum at designated hours, greets visitors, and invites visitors to sign guest register.
    • Promotes and coordinates Downtown Visitors Center, State Auxiliary Museum and collaborates on all city-wide events to bring visitors to the community.
    • Collaborates with Community Relations on producing brochures, flyers and other marketing materials to promote public participation.
    • Coordinates, collaborate and implement approved public programs for the Visitors Center and State Auxiliary Museum.
    • Facilitates, coordinate and collaborate to solicit and attract museum exhibits.
    • Maintains Visitor Center and State Auxiliary Museum calendar to coordinate tours of the facility for schools or other groups and maintains written inventories.
    • Examines exhibit facilities and collection objects monthly for repair or replacement needs. Provides report to the City Manager’s office to include pictures of items, descriptions and owner information.
    • Provide administrative support to Visitors Center and State Auxiliary Museum staff by composing memos and other correspondence. Manage Museum calendar, appointments and coordinate meetings or events as needed.
    • Responsible for opening and closing the doors and setting security systems.
    • Analyzes and organizes office operations and procedures such as bookkeeping, information management, filing systems, requisition of supplies, and other clerical services.
    • Answers incoming department phone calls, drafts correspondence and responds to the public via in person.
    • Maintains departmental office supplies.
    • Assist with filing and all records retention of files for Visitors Center and State Auxiliary Museum Department.
    • Other duties as assigned.


    Supervisory Responsibilities

    This job has no supervisory responsibilities.

    Education and/or Experience

    High School diploma or general education degree (G.E.D.); or one-year related experience and/or equivalent combination of education and experience. Previous work or volunteer experience in Public Attraction, Exhibit Hall, Historic Site, Library or Museum desired. Experience working with the general public required.

    Valid State of Texas Driver’s License
