This position will be located at
1101 Riverside Drive Jefferson City, MO 65101.You will provide executive administrative support to the Division Director and Deputy Division Director and function as a member of the division’s leadership team. You must have the ability to maintain strict confidentiality, strong attention to detail, excellent organizational skills, be a collaborative team member, and have a high level of independent judgement.
- Provide administrative support, including, but not limited to, managing schedules, calendaring, email, and ensuring timely approval of grants and other signature authority duties as delegated by the Department Director.
- Prepares out of state travel requests, following through with making all travel arrangements and itineraries.
- Composes, proofreads, and prepares division memorandums, letters, and reports. May research and prepare information.
- Tracks timesheets - ensuring division team members submit time sheets by due date.
- Manages supplies for the office - making sure adequate supplies are available and ordering additional items as requested.
- Manages multipurpose purchasing card in accordance with state guidelines and policies.
- Serves as the rulemaking coordinator for the division - includes reviewing, logging, and tracking rulemaking documents and ensuring review by appropriate team members.
- Set up new Division of Energy team members’ equipment and establish their computer accesses.
- Create and update Division of Energy forms, ensuring final versions are posted correctly.
- Initiate and coordinate on-boarding of new team members for the Division of Energy, and process appropriate personnel actions.

Equivalent to those typically gained by: - Four or more years of office or related clerical experience including one year at an advanced level position
