    Salary Level: OP4 $28.04 - $37.72 DOE

    Union/Days per year: Office Professional; 10-month; 194 workdays

    This position provides secretarial assistance in a secondary school office. The position performs a variety of duties, depending upon the needs of the school, to facilitate the operation of the school office.

    ESSENTIAL JOB FUNCTIONS

    The School Office Secretary--Secondary performs any or all of the following duties as assigned.

    1. Answers telephone and greets staff members, students, parents and other visitors to the office; answers or refers inquiries to appropriate staff members; takes messages as required; assists with filling out forms; answers questions.

    2. Maintains and monitors accounting ledgers for budget expenditures; handles petty cash accounts; prepares and types budget reports.

    3. Approves and processes all free and reduced meal applications.

    4. Provides typing as needed for administrators, counselors, and teachers.

    5. Signs in substitutes; prepares schedules; disburses keys; communicates with substitute office.

    6. Maintains attendance records; prepares payroll cards; prepares staff absence list.

    7. Prepares work orders for maintenance; handles building authorizations.

    8. Makes locker assignments; issue passes.

    9. Orders and maintains general office supplies inventory; keeps telephone records.

    10. Distributes interoffice and U.S. mail; sells shop cards; receives money for fines.

    11. Assists with counter work; may train and oversee work of student assistants.

    OTHER JOB DUTIES

    1. Provides backup assistance to office coordinator.

    2. Performs other duties as assigned to assist in the school office.

    3. Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.

    CONDITIONS

    Required to concentrate on detail and be precise; experiences frequent interruptions; may be required to deal with, and defuse, if appropriate, difficult and sensitive situations and/or people; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.

    Education and Experience

    High school graduation or equivalent with training in bookkeeping and three years of secretarial experience; one year of experience in a school environment, preferred; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

    Licenses/Special Requirements

    Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

    Allowable Substitution

    Any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

    Knowledge, Skills and Abilities

    Knowledge of general secretarial procedures.

    Knowledge of correct grammar, spelling and English usage.

    Knowledge of bookkeeping principles and practices.

    Skill in using word processing and spreadsheet software.

    Ability to maintain confidentiality.

    Ability to obtain, clarify, and exchange information.

    Ability to accurately perform arithmetic calculations.

    Ability to maintain accurate records.

    Ability to attend to detail and follow tasks through to completion.

    Ability to demonstrate reasonable, reliable, and regular attendance.

    Ability to operate a personal computer with related software applications.

    Ability to manage a variety of activities.

    Ability to establish and maintain effective working relationships with a variety of people in a multi-cultural, diverse socio-economic setting.
