    We are looking for dedicated individuals to perform a variety of specialized office support, clerical and technical work in support of Police Department operations and services.
    This position is designed to be an entry level and trainee class within the Police Records Specialist series. Successful candidates in this position will receive continual training while gaining valuable on the job experience and opportunities to promote and grow your career within the organization.
    • This position requires working varying shifts, weekends and/or holidays
    • Applicants will be required to pass a polygraph, background and drug screening as part of the hiring process


    We currently have one vacancy in the Reno Police Department. Hiring will begin immediately following the examination process. This recruitment will also establish a list for future vacancies, which will be filled as they occur.

    Examples of Essential Functions

    • Receives and processes a wide variety of police reports and records such as crime and traffic reports, juvenile and adult arrests, and various types of warrants, citations, and mug shots according to established guidelines; receives, logs, copies, and maintains warrants, information sheets, and case files; prepares records for scanning, microfiche, microfilm, etc. as appropriate.
    • Accepts subpoenas
    • Prepares, approves and releases requests while ensuring compliance with privacy regulations.
    • Redacts sensitive information from reports and Body Worn Cameras (BWC) as required.
    • Maintains a variety of records, files, and logs of criminal histories, warrants, subpoenas, citations, and related law enforcement information.
    • Time stamps and prepares all incoming police reports, cases, and documentation; scans, validates, and performs quality control on a wide variety of police records, reports, and materials including memos, letters, complaints, declarations, dispositions, warrants, citations, crime and traffic reports; screen and process accident and offense reports; reviews and rejects reports that do not meet minimum requirements; copies and disseminates reports to appropriate staff.
    • Acts as a liaison between the courts and other offices requiring transmission of documents and the coordination of criminal filings and court appearances.
    • Conducts specialized research; assists various law enforcement staff in locating and interpreting criminal histories and other needed information; disseminates information to department staff, outside law enforcement agencies, the public, and other employees according to established guidelines.
    • Assists the general public, City of Reno staff, and external groups and agencies in person, over the telephone, or with written communications; receives reports and complaints; respond promptly and professionally to public, legal, and law enforcement requests for records and information, to, permit issuance, sex-offender registration, and crime/incident reports; collects fees for requests as applicable; resolves complaints in an efficient and timely manner.
    • Types and processes a variety of correspondence, reports, forms, and confidential documents from drafts, notes, or brief instructions; proofreads materials for accuracy, completeness, and compliance with departmental regulations.
    • Enters, retrieves, modifies, validates, inquiries and maintains data and information from a variety of state and local automated systems including the Nevada Criminal and Civil Information System (NCCIS) and Nevada Criminal Justice Information System (NCJIS) and local records management system for stolen vehicles, articles, guns, and/or missing persons as well as Nevada Revised Statute (NRS) wanted persons; makes entries of Reno Municipal warrants and NRS wanted persons in the local automated records management computer systems; update and maintain civil and criminal records; monitors and confirms outstanding warrants; receive and send teletypes.
    • Reviews criminal histories of convicted persons with the City of Reno Police Department; determines if registrants meet the criteria of a repeat offender; forwards information to appropriate law enforcement personnel.
    • Provides comprehensive and detailed data about each reported crime incident through the National Incident-Based Reporting System (NIBRS)
    • Reviews all field interview cards submitted by patrol personnel; determines if subject’s activity matches known modus operandi; completes criminal profiles including mug shots, driver’s license, and vehicle registration information; enters information into the Records Management System.
    • Receives and sorts cases according to crime classification; researches prior cases, criminal histories, and other background materials as requested; distributes cases to appropriate divisions for further investigation.
    • Contacts owners of stolen vehicles and property through phone calls or certified mail; prepares release documentation for property recovered by other agencies.
    • Receives all closed account and non-sufficient fund cases; prepares case reports and submits cases through detectives to the District Attorney’s Office.
    • Provides technical support and training for law enforcement personnel regarding pagers, computers, and associated mobile communications devices; resolves and documents database problems.
    • Attends and participates in professional group meetings; maintains awareness of new technologies, trends, and innovations in the field of law enforcement records management; incorporates new developments as appropriate.
    • Performs additional duties as assigned.


    Minimum Qualifications

    The following qualifications must be met by applicant at the time of application:

    Combinations of relevant work experience and education that are equivalent to the following are acceptable.*

    Education:
    • High school diploma or equivalent
    Work Experience:
    • One year of increasingly responsible clerical support experience, preferably in a criminal justice agency.
    Certification:
    • Possession of, or ability to obtain, a valid National Crime Information Center (NCIC) certification for inquiry within six months of hire.
    • Possession of, or ability to obtain, State certification for the National Incident Based Reporting System (NIBRS) within six months of hire.

    Examination Process:
    Applicants must meet the minimum qualifications and pass the examination for this position to be eligible for hire. The examination will consist of online assessments which will include a written skills test, Cognitive Ability Test, and Employee Personality Profile, along with a Training & Experience evaluation (T&E) weighted as follows:
    • Written Skills Test - 70%
    • Cognitive Ability Test - 20%
    • T&E Evaluation - 10%
    • Employee Personality Profile - Informational purposes only

    Online Assessment Details:
    Qualified applicants will be invited to participate in the online assessments once the recruitment has closed. These tests will be self-administered with no proctor, which means candidates will be able to complete them online at their convenience during the designated testing window. The instructions and guidelines will be emailed to qualified applicants after the recruitment closes on July 6, 2025.     Training and Experience Evaluation (T&E) Details:
    The T&E examination consists of a Supplemental Questionnaire. The questions may be viewed online under the tab marked "QUESTIONS" on the job announcement page. The T&E must be submitted online at the time of application.Responses to your T&E questions should be consistent with the information given in your application details. Answers are subject to verification.

    Appointment and Certification:
    Appointments to positions in the City's Civil Service system are made on the basis of examination. Scores resulting from a competitive examination are used in determining a person's rank on an eligible register. The department may hire any of the persons referred. The names of those persons not hired may be considered when the next vacancy occurs, for as long as that register is viable.
