The Office of Administration, Division of General Services, is seeking a dedicated and proactive Executive Assistant to support our Division Director and leadership team in advancing strategic goals and delivering high-quality public service.
As the Executive Assistant, you will serve as the primary administrative partner to the Division Director, providing high-level support that enables effective decision-making and operational efficiency. This is a pivotal role that requires discretion, initiative, and keen understanding of priorities within the division.
- Manage and maintain calendars, coordinate meetings, and support time-sensitive communications
- Prepare correspondence, reports, agendas, and presentation materials with professionalism and accuracy
- Organize and track key documents, initiatives, and deadlines
- Support division level events and special projects
- Serve as the Human Resources liaison for the division
- Provide efficient office management to maintain effective program offices
- Maintain confidentiality and exercise sound judgment.
Minimum Qualifications: - High school diploma or GED
- Four years of progressively responsible experience in administrative positions.
Preferred Qualifications: - Self-starter willing to take initiative
- Technical expertise combined with a commitment to continuous improvement
- Proven administrative or executive support experience in a complex, fast-paced environment
- Exceptional communication
- Organizational and problem-solving skills
- Ability to manage multiple priorities with professionalism and adaptability
- Ability to work independently with minimal direction and supervision
- Extensive experience with Microsoft Office software -- Outlook, Word, Excel, PowerPoint, and SharePoint
- Experience with MissouriBUYS, the State’s existing accounting system (SAM II) and ability to adapt to the State’s new system (MOVERS)
- Experience supporting government or public service leaders is a plus
