Duties Description
The Parks and Recreation Aide 7 will be primarily focused on performing administrative tasks within the Hudson Valley Capital District at the direction of either the District Manager or Assistant District Managers. Relevant job duties for the position include but are not limited to the following:
• Communicate with District, Contracts, and Agency staff located in various remote office locations by using videoconferencing, phone, and email.
• Schedule meetings, interviews, trainings, and events,
• Distributing agendas, creating/distributing meeting minutes, and developing announcements.
• Retrieve records, gather information, and obtain data as requested. Scan, copy, print, fax, mail, and email documents.
• Prepare draft, proofread, and edit correspondence, letters, memorandums, tables, charts, and reports.
• Answer, direct, and make phone calls to assist Capital District Staff located in different office locations
• Manage, file, and organize paper/electronic documents and records.
• Manage, distribute, and purchase office supplies.
• Assist with the onboarding and offboarding of staff.
• Assist in managing the district budget and enter and/or develop purchase orders.
• Reconcile purchasing for staff.
• Communicate and work with regional and agency business office staff regarding purchasing and budgeting.
• Data entry, maintain and create various spreadsheets.
• Occasional travel to other office locations.
Minimum Qualifications
No minimum qualification per Civil Service.
Preferred Qualifications:
• Experience with Microsoft Office software, including Word, Excel, MS Teams, SharePoint, and Outlook.
Additional Comments
Telecommuting available (up to 50%) with supervisor approval
Occasional Day trip travel will be necessary.
OPERATIONAL NEEDS:
• Must possess and maintain a valid driver’s license that allows the candidate to legally operate a motor vehicle in New York State as a term and condition of employment.
• Must possess strong organizational skills and the ability to work independently as well as with others.
• Must be able to communicate effectively with other staff and park patrons in a responsible and courteous manner.
• Must possess proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
• Ability to perform medium to heavy physical labor, including medium-heavy lifting and using step ladders.
