    Job Classification: Credential Analyst II

    Anticipated Hiring Range: $5,054 - $5,518 per month

    Work Hours: Monday - Friday, 8am - 5pm, unless otherwise notified.

    THE DEPARTMENT:

    The Credential Services Office (CSO) is the centralized point of contact for all students wishing to enter the teaching profession. The office is responsible for collecting and processing program admissions documents for students applying to enter the programs. The office provides guidance and counsel to students who seek to earn both basic credentials and advanced credentials. The office is responsible for monitoring progress toward the desired credential or certificate as well as reviewing, analyzing, evaluating, and processing applications for credentials upon completion of the program(s). The office is responsible for insuring that educator candidates meet all standards and processes required by the California Commission on Teacher Credentialing. The office is the primary source on campus for faculty, staff, and students who seek information regarding the credentialing process and for disseminating new standards and practices approved by the California Commission on Teacher Credentialing (CTC).

    DUTIES AND RESPONSIBILITIES:

    EVALUATION & CREDENTIALING
    • KNOWLEDGE - Develop and maintain thorough and comprehensive knowledge of all relevant credential requirements and policies determined by Cal Poly Pomona Department of Education, the California State University system, and the California Commission on Teacher Credentialing. The Incumbent acts as the liaison for the assigned credential program faculty advisors, both within and outside the college, in working with the assigned credential programs.
    • ADMISSIONS - Facilitate and complete the admissions evaluation for candidates applying to enter the credential program, including calculation of GPA, and determine if they meet all requirements in accordance with CTC, CSU, and CPP policies. Prepare a notification to applicants regarding the status of their file and individually review upon request. Work with program faculty to schedule program interviews for admission, and process and communicate the results of the program admission process to candidates.
    • PROGRESS EVALUATION - Monitor candidates' grades and evaluations for each grading period and consistently update the files and the relevant credentialing personnel or faculty as issues arise with program completion.
    • CREDENTIAL EVALUATION & RECOMMENDATION - Independently review applications for credentials, checking for accuracy and completion of all state, CSU, and university requirements. (The incumbent assumes responsibility for final campus review of credential applications before recommending candidates through the CTC online process prior to recommendation for and issuance of credentials.)
    • COMMUNICATION -Verify completion of program requirements to all inquiring school districts, county offices, and the CTC. Provide advice and evaluations to teachers trained outside California, requesting information on the CPP program and the credentialing process. Maintain close communication with relevant credentialing personnel or faculty on the status of candidates and any issues that emerge requiring program coordinator intervention. Maintain open, supportive, and professional communication with teacher candidates throughout the program.
    • CLEAR CREDENTIAL EVALUATION -Where applicable, determine eligibility for candidates who initially completed a preliminary credential and have made application for a Clear (Tier 11) credential.
    • OUT-OF-STATE EVALUATIONS - Complete evaluations for CPP credential completers requesting analysis for obtaining a teaching position out of state.

    COUNSELING & ADVISEMENT INDIVIDUAL STUDENTS
    • Individually consult by phone, drop-in meetings, and scheduled appointments as well as email with CPP students, students from other campuses, states, and countries holding all levels and types of education certifications and endorsements. Provide advice on California requirements, examinations, alternative coursework requirements, and appropriate means of satisfying credential requirements.

    ADVISING SESSIONS
    • Work with program coordinator and other CSO staff to provide regularly scheduled general advising sessions to prospective credential candidates. (Conducting advising sessions requires thorough knowledge of campus requirements, CSU-specific requirements, and CTC requirements.) Where appropriate, work in concert with credential program faculty or other CSO staff to provide specific advising sessions for candidates.

    POLICY ANALYSIS & ACCREDITATION
    • Attend workshops to improve counseling and advising for credential candidates held at the Credential Analyst and Counselors of California (CCAC) conferences and regional meetings, as budget allows. Attend CSU credential workgroup and departmental workgroup meetings as appropriate. Support credential services and departmental accreditation efforts.

    DATABASE MANAGEMENT ADMISSIONS
    • Enter applicant information in PeopleSoft database and internal Credential MOD and continuously update and maintain information for use by center staff and others in the college and university.
    • CODING - Code candidates in system to ensure accurate tracking. Update coding when necessary.
    • INFORMATION CONTINUITY - Update database on status of candidates as they progress through the program.
    • STUDENT RECORDS - When students have completed the process, purge and prepare files for entry into the archival system
    • ASSESSMENT - Work with college Assessment & Accreditation Coordinator to complete necessary department, university, CSU, state, and federal reports.


    QUALIFICATIONS:
    • Equivalency of two years of experience in the review, analysis, evaluation, or processing of applications for teaching credentials, certificates of permits. OR Equivalency of one year of the above required experience may be required with any combination of the following: (a) Two years of experience processing academic records to determine eligibility for admissions or degrees. One year of college-level education (full-time equivalent) may be equated to one year of academic record processing experience. OR (b) Two years of experience performing technical, clerical, or secretarial duties involving formulation, revision, or interpretation of academic requirements or courses. One year of college-level education (full-time equivalent) may be equated for up to one year of technical, clerical, or secretarial experience.
    • Comprehensive knowledge of State standards and requirements for the full range of teaching credentials; thorough knowledge of educational practices related to employment of teachers with credentials, certificates, or permits in California school systems; a comprehensive understanding of the credential process; thorough knowledge of school internship programs; and a general knowledge of teacher preparation programs.
    • Ability to interpret for others and correctly apply the California Education Code and other such regulations pertaining to the insurance of the various credentials; certificates and permits for public school teaching and service in California; to organize and plan work to meet deadlines; to schedule participants for interviews, workshops or teaching related activities to evaluate academic qualifications and determine credit to be granted towards credentials, certificates and permits; to prepare correspondence, records and reports; and to establish and maintain cooperative working relationships with others.
    • Ability to check and verify complex records and detailed information for compliance with established criteria; write correspondence and prepare standard reports; demonstrate thoroughness and accuracy; interpret and apply written regulations; and maintain confidentiality of information.
    • During training, the ability to learn and apply the following is essential: State standards and requirements for teaching and services credentials, certificates, or permits; how to process applications and evaluate academic qualifications and determine credit to be granted towards credentials, certificates and permits; and how to interpret and apply the California Education Code and other regulations pertaining to the granting of various credentials and permits for public school teaching and service in California.
    • Driver License, Valid and in State Valid CA Driver's license with insurance.


    PREFERRED EXPERIENCE:
    • Bachelor's degree (preferably in related area).
    • Experience with California's credentialing process

    Background Check

    CSU Classification Salary Range

    This position is part of the Academic Professionals of California (APC) bargaining unit 4. The CSU Classification Standards for this position are located on the CSU Classification Standards website. The CSU Salary Schedule is located on the CSU Salary Schedule website. The classification salary range for this position according to the respective skill level is: minimum $5,054 and maximum $7,178 per month.     University Driving Requirements

    Positions that require driving for university business by using a personal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Driver’s license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12-month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points, if their license is Class C or, 4. Not have more than 5 DMV Points, if their license is Class A, B, or C with endorsements.
