    Job Summary:

    The purpose of this position is to provide comprehensive academic advising, program coordination, and student support services to enhance student success, retention, and timely graduation. This role supports the academic development of all undergraduate students, with particular emphasis on undeclared and at-risk populations, by facilitating degree planning, coordinating advising-related programming and communications, and managing scholarship and recognition initiatives in alignment with institutional goals and policies.

    Responsibilities:

    Academic Advising and Student Guidance

    • Provide academic advising to undeclared, freshman, sophomore, probationary, and special population students (e.g., students with excessive units, Pledge Program, Orientation attendees, Basic Skills) by assessing academic progress and guiding course selection to support timely degree completion.
    • Facilitate individualized academic interventions for students experiencing academic challenges by reviewing academic history, identifying barriers, and presenting feasible academic recovery options to enhance student retention.
    • Respond to student inquiries regarding academic programs by explaining degree options, course sequencing, transfer credit evaluation, and timelines for graduation to enable informed academic decisions.
    • Advise students on university policies related to majors, minors, and General Education requirements by interpreting academic regulations to ensure compliance with degree standards.

    Enrollment Management and Student Support Services

    • Conduct group registration and academic advising sessions to promote student preparedness and contribute to university enrollment and retention goals.
    • Assist with developing, curating, and disseminating academic resources (e.g., enrollment guides, planning materials) to support efficient registration and course planning across diverse student populations.
    • Process and monitor academic forms and petitions by maintaining accurate documentation and ensuring adherence to institutional policies to support timely administrative actions.
    • Collaborate with academic Deans, Department Chairs, and Program Directors to resolve student-specific academic issues through consultation and accurate information sharing.

    Advising Orientation Program Coordination

    • Coordinate enrollment, advising, and transition programming for new students by designing and implementing orientation sessions that introduce academic requirements, student support services, and campus engagement opportunities.
    • Collaborate with faculty, staff, and peer leaders to deliver orientation presentations and activities that foster a welcoming environment and support students’ academic and personal adjustment.
    • Monitor orientation outcomes by collecting feedback, tracking participation, and evaluating student readiness to ensure continuous improvement of orientation programming.
    • Organize and facilitate workshops and campus-wide events in collaboration with academic and student affairs departments to enhance new student integration and institutional connection.
    • Analyze orientation data to assess student needs and inform future planning, ensuring alignment with university retention and success goals.

    Outreach, Social Media, and Virtual Services

    • Coordinate Advising and Academic Services social media presence by developing innovative, student-centered content and maintaining platforms such as @CSUSBAdvising to expand access to advising resources.
    • Conduct data analysis on social media engagement and trends to evaluate outreach effectiveness and implement improvements.
    • Develop and facilitate virtual advising resources in collaboration with college partners to increase accessibility and support students in achieving academic and personal goals.
    • Organize and host live advising sessions on social platforms to deliver timely academic support and promote university advising services.

    • Other classification-related duties as assigned.

    Minimum Qualifications: Required Education and Experience:

    Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job-related.

    Experience: Equivalent of three years of progressively responsible professional student services work experience.

    A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

    Required Knowledge, Skills, and Abilities:

    Knowledge and Abilities:
    The following knowledge and abilities as well as those listed at the lower levels in the Student Services Professional series are required for appointment into this classification.
    Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. Working knowledge of student services programs outside the program to which immediately assigned.

    Ability to analyze complex situations accurately and adopt effective courses of action; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.

    Preferred Qualifications:

    • Thorough knowledge of university policies, procedures, and degree requirements related to academic advising, enrollment, and student support services
    • Working knowledge of student development theory, retention strategies, and best practices in orientation and first-year experience programming
    • Strong written and oral communication skills, including the ability to present complex information in a clear and accessible manner to diverse audiences
    • Ability to interpret and apply academic policies and make sound decisions in student-centered contexts
    • Demonstrated ability to plan, coordinate, and implement large-scale programs and events in collaboration with campus partners
    • Experience utilizing student information systems and advising software (e.g., PeopleSoft, EAB Navigate, Degree Planner)
    • Strong interpersonal and intercultural skills with the ability to work effectively in a diverse and inclusive university environment
    • Ability to manage multiple projects, meet deadlines, and maintain attention to detail in a fast-paced setting
    • Proficiency with social media platforms and digital communications tools for outreach and engagement
    • A master’s degree in a related field (e.g., Education, Counseling, Social Work, Student Affairs, or a related discipline).
    • Experience working with underrepresented, first-generation, and at-risk student populations
    • Knowledge of California State University (CSU) system policies, procedures, and student services
    • Experience developing and facilitating orientation programs, advising workshops, or first-year experience initiatives
    • Familiarity with advising tools and platforms such as PeopleSoft, EAB Navigate, Degree Planner, or similar systems
    • Experience coordinating scholarship processes, including application collection, donor engagement, and award marketing
    • Demonstrated skill in social media strategy, digital content creation, and data-driven engagement analysis

    License / Certification:

    Valid California Driver's License

    Compensation and Benefits:

    Anticipated Hiring Range: up to $5,540 monthly.

    Classification Salary Range: minimum $5,540 - maximum $7,893 monthly.

    The salary offered will take into account internal equity and experience among other factors.

    The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year.     Position Information:

    Full-time/Exempt/Probationary

    Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends.

    Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.

    Background Check

    Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.

    Drivers License Check

    Possession of a valid Driver's License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

    Mandated Reporter

    The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.
