Under the general supervision of the Manager of Employment Services, the Human Resources Support Assistant delivers high-quality customer service to employees seeking assistance from the office of Human Resources. The incumbent provides timely and accurate information, while ensuring a professional and welcoming experience. Key responsibilities include greeting and assisting visitors, answering and routing phone inquiries, logging and distributing mail, and drafting correspondence. The position is also responsible for maintaining both physical and electronic records and filing systems. In addition, the incumbent provides cross-functional administrative support to other areas of Human Resources Management as needed.
Overview of Duties and Responsibilities: - Provide exceptional customer service as the first point of contact, maintaining a welcoming and professional front desk area.
- Maintain accurate employee personnel files and provide excellent HR support to staff and faculty.
- Assist with onboarding and offboarding processes, including I-9 verification, employee clearances, and separation checklists.
- Support employees with self-service updates (e.g., address, direct deposit, tax forms) and respond to HR/Payroll-related inquiries.
- Coordinate employment verifications, workers’ compensation paperwork, and assist with HR events and projects
Minimum Qualifications: - High school program or its equivalent and at least one (1) year of experience in an office environment.
Knowledge, Skills, and Abilities: - Understanding of personnel file management, onboarding/offboarding processes, employment verification, and basic HR compliance.
- Ability to provide professional, courteous, and responsive service in person, over the phone, and via email while maintaining confidentiality.
- Strong verbal and written communication skills to effectively interact with employees, students, and external parties.
- Ability to use HR/payroll systems and self-service portals; proficiency with Microsoft Office Suite (Word, Excel, Outlook) and document management tools.
- Strong attention to detail with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
- Ability to identify issues, provide solutions, and adapt to changing procedures and policies.
- Ability to work effectively as part of a team while also taking initiative and working independently when needed.
- Demonstrated ability to handle sensitive employee information with discretion and in compliance with regulations.
- Ability to maintain a professional and welcoming front desk area and assist with HR event/meeting logistics.
- Capacity to provide guidance and lead direction to student assistants.
Preferred Qualifications: - General clerical/administrative work experience in Human Resources or closely related field
