TEMPORARY SERVICES REGISTRY PROGRAM: The Temporary Services Registry Program supports the Board of Supervisor's recently enacted Local and Target Worker Hire Policy. This policy utilizes local residents served and tracked by the Workforce Innovation and Opportunity Act and Workforce Development Board Programs. This includes, but is not limited to, Veterans and their families, current or former foster youth, people experiencing homelessness, low-income, those with history of involvement with the Criminal Justice System and those without a high school diploma or GED. Registry employees will be used to assist County Departments with clerical and office support during workload peaks, or when a County department has a need for additional support. The length of an assignment can vary. Program participation is limited up to two years. Essential Job Functions What will I do as an Office Support Assistant? Process requests for supplies, service orders, invoices, timesheets and routine reports annually or by utilizing electronic systems. Maintain a variety of documents, records and logs by sorting, filing, photocopying, searching, verifying, and tracking information. Handles routine requests for information, records and other resources directly, communicating administrative details to supervisor; provides clerical support for the division. Receives, reviews, routes and/or processes various forms, requests and reports, files, records and documents from the public and/or other departments. Researches and locates records using computer system or manually; resolves problems in searching and recovering lost, missing and/or any other particular report or file. Attends meetings, and training sessions; reviews policy and procedures as required to remain knowledgeable of departmental and program operations. Position Summary Full-time position available on or after June 10, 2024 for University Police. Under general supervision of the Police Captain or Lieutenant, the incumbent is responsible for front counter customer service and support for daily University Police operations which include Parking Management Bureau (PMB), Live Scan and Parking operations. Incumbents assigned to this classification may be required to use a variety of office support technology and systems including: one or more word processing and spreadsheet packages; use of a mainframe computer to enter data and generate reports; maintenance of a workstation or PC-based database; and use of electronic and voice mail. Incumbents in this classification tend to support a function or department but may support a particular person(s). Job Duties Duties include but are not limited to: Respond to inquiries regarding parking citations and parking permits. Review, update, and revise procedures and processes for customer relations and PMB systems. Maintain confidentiality when dealing with information about ticket recipients and permit customers. Stay abreast of California vehicle code updates regarding parking tickets. Process, screen, and file daily parking citation and permit payments. Data entry of parking citations and permit into PMB systems. Assist lead staff with the implementation of setup processes for new PMB agencies. Arrange schedules, set up meetings for travel arrangements, and act as administrative support backup as needed. Compile documents, report statistics as necessary for agencies, and manage logistics, including acquiring supplies and equipment. Provide general support and assistance to UPD operations, including non-emergency radio communications. Assist with a full range of moderate to complex clerical and secretarial work assignments, projects of moderate scope and complexity, and planning and coordinating clerical work activities. Provide lead work direction and/or training and assistance to others in work processes and procedures. Assist with troubleshooting and identifying issues with PMB systems. Track, maintain, and monitor PMB equipment. Assist with assessing, formulating, and evaluating technological improvements for PMB in collaboration with Technical Support personnel.
