Incumbent must have: experience to be fully functional in all technical aspects of work assignments; thorough knowledge of office systems (e.g., GET) and the ability to use a broader range of technology, systems and packages (e.g., Microsoft Office) to independently handle multiple work unit priorities and projects, and to independently apply multiple policies and procedures where specific guidelines may not exist; draft and compose correspondence and standard reports; handle a broad range of interpersonal contacts effectively and efficiently, including those at a higher level and those sensitive in nature; troubleshoot office administration problems and respond to all inquiries and requests related to the work area; analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; strong problem solving skills and communication skills in oral and written English; the ability to accomplish tasks under pressure to meet deadlines. Job Summary Under the direction of the Kinesiology & Public Health Department Chair, this position provides administrative support for the KPH department in regards to handling student-related issues, and providing general administrative support for the faculty, Department Chair, and staff. The mission of the KPH Department is to promote physical activity and health for all through excellence in teaching, research and service. The KPH faculty hold several multi-million-dollar research grants funded by federal, state and philanthropic sources. Ongoing projects include several long-term human-subjects research studies involving hundreds of community participants, dozens of local community contracts and partners, and several national and international partners. Job Summary Under the direction of the Kinesiology & Public Health Department Chair, this position provides administrative support for the KPH department in regards to handling student-related issues, and providing general administrative support for the faculty, Department Chair, and staff. There are approximately 500 undergraduate students in undergraduate programs leading to BS in Kinesiology, a BS in Public Health, and a minor in Exercise and Sport Studies, 14 full time faculty, 3 full time lecturers, 25 part time faculty, and 5 support staff. The mission of the KPH Department is to promote physical activity and health for all through excellence in teaching, research and service. The KPH faculty hold several multi-million-dollar research grants funded by federal, state and philanthropic sources. Ongoing projects include several long-term human-subjects research studies involving hundreds of community participants, dozens of local community contracts and partners, and several national and international partners. The Center for Health Research (CHR) is a University Center housed within KPH. Housing is not available at this location. Under the direction of the Office Manager, this position performs routine (journey-level) administrative support work and is responsible for assisting with the duties of managing daily operations at Devils River State Natural Area DAH unit and Del Norte Unit. Assists with daily, weekly, monthly, quarterly, and annual reports. Research problems and prepares reports as required by Regional Office and Austin Headquarters. Prepares correspondence regarding in-house memos and outside correspondence regarding park-related matters. Processes and distributes incoming and outgoing mail. Performs computerized registration, fee collection, and issues permits using an automated system. Provides customer service, handles complaints and emergencies, collects park fees, and interprets policies. Responsible for purchase of resale items that meet the park's mission statement, tracking concession budget, completing monthly spot audits on Park Store. Disseminates information and provides assistance to park visitors, the general public, and internal customers via e-mail, social media, mail, phone, and in person. Assists with training employees and volunteers in all facets of office and park headquarters operations. Performs general cleaning of headquarters office and restrooms. Maintains office supplies and inventories as required and performs purchasing tasks. Assists with interpretive programs, volunteer programs, and special events. Works under moderate supervision, with limited latitude for use of initiative and independent judgement. Performs additional duties as assigned. Experience: Two years of experience performing administrative support duties. Licensure: Applicant must possess a valid State driver's license. PREFERRED QUALIFICATIONS: Experience: Bilingual in English, Spanish or French; Experience in retail customer service; Experience in basic accounting, preparing correspondence, recordkeeping, customer service, and/or public relations; Experience using personal computers, including Microsoft Word, Excel, and Oracle.
