Description The Department: Finance The Finance Department administers the financial affairs of the City of Santa Clara, including City-owned public utilities. The department is comprised of five divisions, Administrative Services, Budget and Treasury, Accounting, Municipal Services, and Purchasing. Together these divisions carry out the mission of the Finance Department to ensure that the financial/fiscal activities of the City are performed, recorded, and presented in compliance with professional and ethical standards. Description The Department: Finance The Finance Department administers the financial affairs of the City of Santa Clara, including City-owned public utilities. The department is comprised of five divisions, Administrative Services, Budget and Treasury, Accounting, Municipal Services, and Purchasing. The selected individuals will be responsible for teaching a variety of courses in studio art and theories of art education to students in the BA Art-Preparation for Teaching major, as well as to others interested in art education. Course materials, teaching strategies, and advisement should address the diverse needs of our student population, which includes varying ages, cultural backgrounds, ethnicities, primary languages, and academic preparation levels. University Advancement Administrative Analyst/Specialist - Non-Exempt RESPONSIBILITIES & DUTIES: The Career Center will serve as the central internship hub for industry and students to engage in internships. Key elements of the internship hub will include: (1) assisting students in acquiring internships related to their academic experience; (2) building partnerships with employers to increase internship opportunities and educating employers on how to facilitate quality internships; and (3) working in partnership with faculty and staff in Academic Affairs to facilitate academic-credit internships (e.g., orientation, training, evaluation, placement tracking). In partnership with Academic Affairs, implements campus policy on internships and informs interested students on how to acquire academic credit for internships. Independently prepares annual reports with recommended courses of action related to internship placements and experiential learning outcomes. Develops employer and intern questionnaires, analyzes data, and assists with program effectiveness and improvement. Provides solutions for a wide range of complex problems associated with internship placements, which are creative, well-developed, thorough, and practical; works independently and within a team on special and on-going projects. Exercises considerable judgment in analyzing problems with broad community/campus impact. Collaborates with Academic Affairs internship liaison to establish electronic Internship Module including internship postings, internship agreements, intern applications, intern performance evaluations, placement tracking, and intern learning outcomes. Assists employers and community partner inquiries regarding campus internship programs and recruiting options. Provides comprehensive campus outreach focused on student success via internships and related practices. Collaborates with students, faculty, departments, and community partners to identify barriers that prevent students from taking part in campus internship programs. Integrates instruction on relevant areas such as campus internship policy, compliance, risk management and centralized approaches to campus internship coordination. Reviews and assesses complex problems relating to key factors that impact student involvement in internships such as the identification of potential risk, quality educational experiences for students, and compliance with related institutional guidelines such as Executive Orders and with relevant Federal and State regulations related to experiential education and related documents. Maintains accurate data, records, and files, to track the activities, achievements, participation, and status of interns. Interprets and applies policies and procedures independently and uses judgment and discretion to act when precedents do not exist. Coordinates, prioritizes, and monitors complex assignments and projects through completion such as internship program expenses, internship budget reporting, analyzes internship budget information to provide recommendations; generates monthly reports; reviews and updates webpages. Monitors internship related expenditures and works to identify and resolve any discrepancies. Prepares reconciliation of all internship accounts and resolves any discrepancies. In partnership with CDAE team, develops initiatives for the Career Center related to diversity, equity, and inclusion. Serve in an active role to advance a culture of inclusive excellence and ensure department is rooted in the core values of equity, justice, and inclusivity. Performs additional related duties as assigned. REQUIREMENTS OF POSITION: Bachelor’s degree in Social Sciences, Business, Communication or related field required. At least two years of experience working in a busy office environment responding to numerous callers and walk-in customers is required; four years office experience is preferred. Two or more years of office experience within a university office is preferred. At least two years of progressively responsible operational, administrative, and technical support experience; experience in career services is preferred. A bachelor’s degree may be substituted for office experience. Must have a thorough knowledge of English grammar, punctuation and spelling. Ability to maintain confidentiality and appropriately handle sensitive communications with students, employers and external agencies. Strong computer skills (e.g., Microsoft Office); experience with database and web-based software; ability to quickly learn and keep current with new and changing technology used in Career Development (e.g., LinkedIn, Handshake, PeopleSoft, Zoom). The ability to perform data entry and maintain accurate records. Experience with Handshake software is preferred. Experience with managing program budgets is preferred. Must be able to interpret and apply policies and procedures independently and use sound judgment in resolution of problems/obstacles. Must maintain the confidentiality of student information at all times and abide by FERPA guidelines. Demonstrates knowledge of CSU policies related to student internships and Department of Labor Fair Labor Standards. Must be able to communicate effectively with a diverse population of students, faculty, staff, and community. Ability to effectively establish and maintain cooperative working relationships within a diverse, multi-cultural environment of students, staff, faculty, and academic programs across the University. Must be able to take initiative in the performance of a variety of tasks and have the ability to independently handle multiple priorities and projects. Demonstrated ability to interpret, implement and explain to a variety of audiences, legal regulations and institutional practices that impact internships and other structured student learning experiences. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU.
