CLASSIFICATION TITLE: Admin Analyst/Specialist Exempt I

FT/PT: Full-time

PAY PLAN: 12-month

WORKPLACE TYPE: On-site (work in-person at business location)

ANTICIPATED HIRING RANGE: $4,379 - $5,834
  • However, offer amount will be commensurate with candidate’s experience, education, skills, and training.

CSU CLASSIFICATION SALARY RANGE: $4,170 - $7,545

PAY BASIS: Monthly

POSITION PURPOSE: Under general supervision of the Director of Enrollment Systems & Academic Operations, the Curriculum Specialist works independently, and serves as the liaison between Academic Programs and the departments implementing curricular change. The incumbent will ensure all approved curriculum changes flow efficiently and accurately into the necessary systems for all end users. The incumbent accurately represents curriculum information in the University Catalog following policies and standards established through CSU Bakersfield, the CSU Chancellor's Office, and Title 5.

DUTIES & RESPONSIBILITIES:

Curriculum & Course Maintenance
  • Responsible for ensuring the integrity and completeness of the academic structure (college, department, subject, course, and class) data in PeopleSoft and the University Catalog.
  • Serve as a resource for department, college, administration, and CSU-System personnel on CSU, Bakersfield academic structure and data.
  • Advise deans, chairs, faculty, and curriculum committees on course and degree program policies, procedures, conventions, structural requirements, and make recommendations for changes when needed.
  • Meet with academic departments to assess the impact of assigning enrollment requirements (requisites) to their courses. Set up, test, and monitor the enrollment requirements that control student registration. Work with academic departments where student's access is being negatively affected.
  • Collaborate with the University Catalog Editor and technical staff on design changes and new features for the annual University Catalog.
  • Setup and maintain academic subjects, academic organizations (departments), academic groups (colleges), and the academic department tree in PeopleSoft.
  • Use expertise and substantial judgment in the analysis, interpretation, and implementation of new policies and procedures within Enrollment Systems.
  • Troubleshoot problems related to both the software and interpreting the guidelines.
  • Recommend and assist with implementing changes related to university procedures and policies as it relates to the academic structure in PeopleSoft and the University Catalog.
  • Provide strategic input on the creation of the Annual Academic Calendar.
  • Collaborate with Provost’s office for approval and posting of the Academic Calendar.

Catalog Curriculum Analyst
  • Working independently with direction from the Director of Enrollment Systems, establish, modify, and terminate courses in PeopleSoft according to various Chancellor's Office and campus guidelines, policies, and procedures.
  • Provide information to deans, chairs, faculty, and curriculum committees on course and degree program policies, procedures, conventions, and structural requirements.
  • Serve as a committee member on the CSU Student Records and Curriculum user groups.
  • Analyze all course and degree program proposals/changes and advise Academic Programs and other approval bodies appropriately.
  • Review data elements on course and degree program proposals/changes and recommend appropriate corrective measures to colleges and other approval bodies.
  • Create, edit, and maintain all curricular data for the annual University Catalog.
  • Follow recommended standards established by University Catalog Editor on style, format, and language for curriculum in the catalog.
  • Review design changes or new features for the annual University Catalog with the University Catalog Editor and technical staff.

Curriculum Systems Specialist
  • Collaborate with Academic Programs and colleges to ensure needs are met for accurate implementation of approved curriculum changes.
  • Analyze all curriculum changes to ensure they meet graduation requirements, system requirements, and policy compliance (CSUB, CSU CO and Title 5 policies).
  • Communicate curriculum changes to all department leads.
  • Make recommendations for procedural changes to enhance the approved curriculum implementation workflow.

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE - Bachelor’s degree and/or equivalent training and three (3) years of recent administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) -
  • Regular and reliable attendance is required.
  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
  • Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
  • Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Ability to interpret, communicate and apply policies and procedures.
  • Ability to maintain a high degree of confidentiality.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure.
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:
  • Bachelor’s degree.
  • In depth knowledge of academic curriculum for major/minor and GE Requirements.
  • Experience utilizing PeopleSoft Curriculum Management module or CourseLeaf Curriculum Management tool.
  • Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.

PHYSICAL DEMANDS: SEDENTARY WORK - involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.

SPECIAL CONDITIONS:
