Job Summary: This position will support the Director of Operations & Fiscal Management and the Division Budget Analyst with clerical/administrative functions for the Vice President’s office as well as various units as needed within the division.
Duties and Responsibilities - Provide comprehensive clerical and administrative support for the Office of the Vice President of Strategic Enrollment Management & Marketing and associated Division Units.
- Manage multiple priorities and offer creative solutions to support day-to-day office operations.
- Schedule and confirm meetings, manage mail distribution, and maintain organized physical and digital records.
- Coordinate meeting logistics, including room reservations, materials preparation, and sending reminders.
- Support the Vice President by managing their calendar, coordinating availability, and resolving scheduling conflicts.
- Assist with event preparation by organizing materials, setting up venues, and providing on-site support.
- Prepare timesheets and serve as a backup for basic timekeeping duties to ensure accurate reporting.
- Coordinate travel arrangements and complete required travel documentation in accordance with campus procedures.
- Perform responsibilities under general supervision and remain accountable for work results.
- Assist with routine office processes, including preparing standard forms for purchases, reimbursements, and basic requisitions in compliance with established policies and procedures.
- Track and file receipts, invoices, and credit card records to support accurate financial reporting and forecasting.
- Review student and staff timesheets for completeness and follow up to resolve missing or incorrect entries prior to submission.
- Perform other general office duties and assist with special projects or support requests as assigned by the supervisor.
Minimum Qualifications: Required Education and Experience - High school diploma or its equivalent AND three years of progressively responsible experience in general office clerical or secretarial work or the equivalent.
Required Qualifications - Experience to be fully functional in all technical aspects of work assignments.
- Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
- Thorough knowledge of English grammar, punctuation, and spelling.
- Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
- Ability to independently handle multiple work unit priorities and projects.
- Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist.
- Working knowledge of budget policies and procedures.
- Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
- Ability to draft and compose correspondence and standard reports.
- Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
Preferred Qualifications - Two years relevant experience working in higher education or related field or office.
- Demonstrated expertise in scheduling complex calendars.
- Ability to anticipate essential materials necessary for meetings and travel arrangements.
- Active problem-solving skills, along with effective and sensitive interpersonal skills.
- Ability to apply reasoning and judgment and to develop practical, thorough, and creative solutions.
- Ability to perform standard arithmetic functions of a transactional nature.
- Ability to work professionally, collaboratively, and collegially with a diverse group of people, clients, and co-workers.
- A thorough knowledge of office systems and the ability to use a broader range of technology, systems, and software packages is preferred.
Compensation and Benefits: Anticipated Hiring Range: $3,864 per month
Classification Salary Range: $3,864 - $6,072 per month
The salary offered will take into account internal equity and experience among other factors.

Position Information: Work status: Full-time/Non-Exempt/Emergency Hire (up to 120 days or 180 days)
Academic year schedule: Monday through Friday (8:00 am - 5:00 pm), some evenings/weekends. Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends. As of January 1, 2022, the CSU Out-of-State Employment Policy prohibits the hiring of employees to perform CSU-related work outside the state of California.
