DescriptionThe City of Irvine seeks a passionate and motivated individual to join the Irvine Police Department’s Records Division as a Public Safety Lead Records Specialist. The Records Bureau is open 7 days per week and shifts operate from 6:00 a.m. - 12:00 a.m. This position requires shift work including hours during evenings, weekends, and holidays.
Effective the pay period that includes July 1, 2025, all employees covered by this position's Agreement shall be provided with an additional one and one-half percent (1.5%) base salary increase. This will be in addition to the previously approved and currently planned base salary increase of three and one-half percent (3.5%) that has already been scheduled to take effect for the pay period including July 1, 2025, for a total of five percent (5%) base salary increase. The bottom of the range will move up five percent (5%) commensurate with this change.
Effective the pay period including July 1, 2026, the salary range for each classification covered under this agreement shall be increased by five percent (5%). The bottom of the range will move up five percent (5%) commensurate with this change.
Effective the pay period including July 1, 2027, the salary range for each position covered under this agreement shall be increased by five percent (5%). The bottom of the range will move up five percent (5%) commensurate with this change.
Effective the pay period including July 1, 2028, the salary range for each classification covered under this agreement shall be increased by five percent (5%). The bottom of the range will move up five percent (5%) commensurate with this change.
Your Impact- Provides leadership and guidance to records personnel to ensure compliance with established policies and procedures; explains work procedures and methods; performs or assists with the most complex, difficult, or sensitive duties
- Observes and strictly enforces security regulations and procedures pertaining to the processing, maintenance and release of highly confidential records and reports.
- Coordinates the documentation for court cases and prepares statistical data.
- Daily interactions with the community, police personnel, and City staff to provide accurate information.
- Operates a variety of databases including Microsoft Office (Word, Excel, and Outlook),OnBase, Motorola, ELETE.
- Coordinates, administers and monitors mandated Proficiency Testing for all certification levels in NexTest. Ensures all required CLETS forms are maintained and up-to-date for all unescorted access.

Minimum Qualifications- Associate degree in business, secretarial science, computer science or a related field.
- Two years of clerical or secretarial experience including public safety records management.
- Any combination of education and experience that provides equivalent knowledge, skills and abilities.
Best Fit- Experience managing and training staff in a Public Safety environment.
- Detail oriented, strong organization skills, and a team player.
- Experience working with records databases. Preferable experience in a Public Safety field.
- Effective communicator and ability to work with a variety of individuals.
- Ability to provide creative recommendations or solutions to issues.
- Excellent ability to memorize codes and regulations pertinent to the role.
- Flexible, with the ability to work in a fast-paced environment.
