    Job Summary

    Under the direct supervision of Fiscal Operations Specialist, the incumbent provides administrative support to department chair and faculty, assists in student inquiries, and serves as receptionist to academic departments.

    Key Responsibilities
    • Provide administrative support to the Department Chair(s): Provide administrative support to the Department Chair(s) to ensure the day-to-day operations in departments run smoothly.
    • Provide administrative support to faculty and lecturers: Duplicate and collate instructional materials for faculty. Assist faculty in the preparation and submission of work requests. Communicate timely with faculty the status of their work requests.
    • Serve as Receptionist: Be familiar with services provided by the Center for Student Success including Major and Minor Declaration forms, Late Registration forms, Add/Drop form, Petition for Equivalency form, Direct Studies forms, etc. Refer students as appropriate.
    • Direct & indirect supervision of student workers: Remind and follow up with student workers to complete the clearance process when they are separated from the college.


    Knowledge Skills and Abilities

    Establishes and maintains good working relationships with faculty, staff, students, and vendors. Working knowledge of office methods, procedures, and practices. Ability to perform moderate clerical tasks involving independent judgment, accuracy, and speed. Working knowledge of Windows, Word, e-mail, spreadsheet, and databases. Working knowledge of writing skills and oral communication skills.

    Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

    Education and Experience

    • Equivalent to four years of administrative support experience required.

    Physical Summary

    Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

    Compensation

    Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

    CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,864 - $6,072 per month.

    Time Base

    1.0 time-base, 40 hours per week.

    Duration of Appointment

    This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
