    Pay Range: $22.90/hr. - $25.76/hr. | $47,632 - $53,585 annual compensation

    Workdays & Hours: FLSA Nonexempt position. Monday - Friday 8am - 5pm. Hybrid on-site work model available upon successful completion of initial probation; staff required to be on-site at least 2 days per week.

    An Administrative Assistant (MRC) position is available with the City of Fort Worth’s IT Solutions (technology) department in the Strategic Planning Division. The IT Solutions Department currently has 174 full-time employees along with approximately 10-15 staff augmentation contractors at any given time. This position will contribute to the City’s strategic goals, mission and vision by supporting the Executive Leadership team, scheduling meetings and creating agendas as needed; serving as the department’s primary Medical Records Custodian (MRC), Workers’ Compensation Coordinator (WCC), as secondary timekeeper, and back-up Human Resources Coordinator (HRC).

    The MRC will assist employees with medical leave and accommodation requests related to the Family and Medical Leave Act (FMLA) and Americans with Disabilities Act (ADA) in collaboration with the City’s Leave Coordinator and third-party vendor. This position will also provide staff augmentation support, travel assistance for department employees to include process guidance, paperwork and related payments, as well as serve as secondary timekeeper, making corrections, running queries, and ensuring accuracy of submitted time each pay period in collaboration with the Department Payroll Coordinator (DPC).

    Minimum Qualifications:
    • Associate’s degree in Public Administration, Business Administration or a related field
    • Four (4) years of responsible clerical and administrative experience
    • Candidate selected for hire must pass a Criminal Background Check for CJIS

    Preferred Qualifications:
    • Prior experience in Human Resources areas in support of employees (i.e. medical leave requests, payroll, recruitment, travel, financial reports or accounting)
    • Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel).
      • In Excel - experience creating, updating and manipulating spreadsheets, building pivot tables, linking data to other spreadsheets, accessing data to provide counts, data and analysis
    • Demonstrated ability to communicate effectively with all levels of an organization
    • Advanced level of PeopleSoft (ERP) or similar human resources system experience and position management and processing personnel actions (ePAR)
    • Knowledge of Visio software to update and maintain organizational charts as needed
    • Proven customer service skills and experience with public contact

    The Administrative Assistant’s job responsibilities include:
    • Under supervision, provide support to the daily operations of the Department’s Human Resources Unit including medical leaves, recruitment, onboarding, out-processing, and payroll
    • Provide administrative support to general employees, staff augmentation contractors and their vendors with a variety of tasks, including CJIS background checks, badges and access requests for new personnel
    • Providing executive support to include calendar management, travel requests, and general administrative related tasks as needed
    • Process travel-related requests and payments for department employees from initial authorization to final expense report
    • Respond to requests for information from supervisory staff, employees, or vendors; conduct follow-up research to retrieve answers and supporting information
    • Run weekly, monthly, quarterly and year-end position management and related reports
    • Performs well in a high-volume, task-oriented work environment that requires a high level of attention to detail and organization
    • Maintain IT Solutions Department personnel and recruitment files to include filing, retention and destruction of files per the City’s Records Retention Schedule
    • Provide process guidance to department employees related to City policies, including travel and the Personnel Rules & Regulations (PRRs)
    • Cross training in procurement activities and routing contractual agreements for signature to assist other teams as needed.

    Physical Demand

    Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

    Criminal Justice Information Systems (CJIS) Background Check

    Applicants for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following will result in being disqualified for this position: Felony Convictions, Felony Deferred Adjudication, Class A Misdemeanor Conviction, Class B Misdemeanor Convictions in the last 10 years, Class A Misdemeanor Deferred Adjudication, Class B Misdemeanor Deferred Adjudication in the last 10 years, an Open Arrest for Any Criminal Offense (Felony or Misdemeanor), and ALL Family Violence Convictions regardless of class.

    Medical Program
