    Description:

    Jefferson County Attorney's Office is seeking a detail-oriented Office Assistant to provide seasonal clerical assistance and administrative support to the Board of Equalization. The Board of Equalization (“BOE”) hears the appeals of property valuation and classification by the Assessor. We are seeking to fill several temporary positions with detail-oriented individuals who can follow document processing standards per BOE protocols and can work independently in a professional setting. The job entails using a computer-based database document management system to file the property owner’s protest, create supporting documents, and accurately communicating any issues to higher level staff. Our need for accurate, verifiable data-entry and information is paramount.

    This role offers the opportunity to collaborate and learn from a team of professionals, and show-case strong problem-solving aptitude while working independently. This is a unique opportunity to support both the County Attorney’s Office and the Board of Equalization, building relationships with several departments and defining the culture that you want to work in.

    SCHEDULE:

    This is a temporary, seasonal non-exempt hourly position (32-40 hours per week) beginning as soon as August, with the possibility to extend through November. This position requires working on-site in Golden.

    COMPENSATION:

    Target Hiring Range: $19.00 - $21.00 USD Hourly

    Compensation will be determined based on education, experience, and skills.

    BENEFITS:

    Please note that this is a seasonal and temporary, non-benefited position scheduled to work approximately 32-40 hours per week. There is no holiday pay. Employees are able to earn 1 hour of sick leave for every 30 hours worked, up to 48 hours.

    ESSENTIAL DUTIES:
    • Financial/Data Entry - Enter data into the established office database. Perform data entry into assigned systems and gather information from systems to compile specialized reports and to resolve discrepancies. Provide notification to taxpayers and staff of irregularities and work to facilitate needed corrections. Update official County records to accommodate resolutions. Compile, record, and evaluate various data to verify completeness and accuracy.
    • Administrative/Clerical/Records - Perform administrative and organizational duties to improve efficiency and customer service. Utilize current technical data entry equipment/databases/tools and/or file maintenance systems. Perform a variety of basic office duties, such as scanning, copying, filing, faxing and completing legal documents. Create and/or run a variety of reports using established processes and guidelines. Perform basic research to verify information, determine accuracy or make corrections to documents. Keep an inventory of supplies. Distribute mail and documents.
    • Customer Service - Act as liaison between the County departments and taxpayers, as well as appointed authorized representatives. Perform basic customer service in person and by telephone and email. Respond to, investigate, and resolve concerns and/or complaints received from staff or taxpayers and explain applicable policies and procedures. Perform research and explain applicable policies and procedures as appropriate. Refer non-routine and elevated inquiries to higher-level staff. Respond to taxpayer questions and complaints. Participate in staff development and team building opportunities as appropriate.
    • Quality Assurance - Maintain and process paper and electronic records per established quality control standards. Maintain all new and existing tangible and electronic files. Review local procedures/processes.


    QUALIFICATIONS:

    Preferred Knowledge, Skills and Abilities :
    • Prior experience working in an office, law firm, or professional setting is highly preferred.
    • Experience with database entry where accuracy is paramount is highly preferred, with any knowledge of Time Matters and CAMA software is a great advantage.
    • Ability to accurately compile, format, and file electronic data.
    • Proficiency in processing paper and electronic records per established records management protocols.
    • Provide other administrative and technical support as needed.
    • Advanced computer skillset, or a natural tech savvy acumen is highly preferred.
    • Proficient with MS Office Suite.
    • Expertise of written and verbal communication skills. [to successfully convey disposition of appeals to property owners, appropriate attorneys, assessors, referees, and paralegals]
    • Minimum typing skills of 45 wpm.
